JOB SUMMARY

The Sobrato Organization is looking for a dedicated, self-motivated and resourceful People Operations Manager to support our team in ensuring smooth and efficient business operations. The People Operations Manager will support the employee’s life cycle which includes, but is not limited to, the pre/on-boarding process by collecting, reviewing for accuracy, and maintaining employment on-line documents and records according to established regulatory and legal guidelines. They will have primary responsibility for oversight of payroll and benefits administration, HR systems administration, and employee files compliance and management.  Additionally, contributes to the on-boarding, staff events, and other HR-related activities and projects as directed by their manager.  The People Operations Manager will also be expected to recommend new policies, practices and procedures to continually improve our best-in-class services. RESPONSIBILITIES AND TASKS

 

Job Responsibility 1: People Operations Management

45% of Time

  • Maintain compliance with local, state, and federal employment laws and regulations
  • Plan and direct employee engagement events, which promote a high-performing, inclusive, and mission-driven culture
  • Maintain awareness of industry best practices for data maintenance handling as it relates to your role
  • Adhere to policies, guidelines and procedures pertaining to the protection of information assets
  • Serves as a consultant to HR on matters such as, FLSA, FMLA, CFRA, ADA regulations, Workers Compensation, and employee communications
  • Interfaces with benefits administration team and third-party administrators; participates in annual benefits renewal and open enrollment processes; interfaces with employees in resolving benefits issues
  • Manages payroll-related activities and projects, develops and maintains HR database and portal
  • Act as point person for all payroll related issues
  • Oversight of Employee Handbook and assists in updating, identifying and drafting new policies and procedures
  • Manages wellness initiatives and wellness events
  • Handles the ergonomic assessment process
  • Responds to unemployment claims within the designated timeframe
  • Ensures all employment posters are up to date in the assigned areas
  • Assist in the administration of employee risk management including safety programs, workers compensation, and other compliance trainings
  • Compose and distribute general Human Resources correspondence, such as those announcing any policy revisions
  • Conducts exit interviews for junior level roles, files the appropriate documentation and supports with the separation process
  • Conducts and analyzes exit interview data
  • Supports talent management initiatives, such as performance management, yearly review process, and employee development programs
  • In partnership with the Director of People Operations & Workplace Services, develop and deliver training programs to enhance employee skills and knowledge

 

Job Responsibility 2: HR Systems Administration

20% of Time

  • Maintain and audit accurate employee records and ensure data integrity in all HR systems
  • Provides assistance with coordinating workflows and process
  • Organizes and systematizes paper and electronic HR documents and files
  • Improve HR practices, for consistency and efficiency as well as provide recommendations for innovative and value-added HR programs; leading the implementation and evaluation of such programs when applicable
  • Assists with reporting and research

 

Job Responsibility 3: New Hire Onboarding Experience

15% of Time

  • Oversees the new hire on-boarding activities
  • Create and manage an engaging new hire onboarding process, which includes pre-employment activities through orientation in partnership with the Hiring Managers, and works with Workplace Services and IT staff for office/IT needs
  • Facilitate the orientation program, and procure all necessary paperwork for payroll, and new hire trainings
  • Interfaces with all levels of staff and external relations on HR-related issues using appropriate discretion, sensitivity, and professionalism. Understand the business environment, strategy and department needs
  • Lead onboarding efforts for all positions which includes background checks, I-9s and new hire orientation
  • In partnership with the Director of People Operations & Workplace Services, organizes staff activities and events such as employment anniversaries, special events, etc.
  • Supports the Director of People Operations & Workplace Services with performance management and employee engagement activities

 

Job Responsibility 4: Recruiting

15% of Time

 

Support the recruitment efforts for TSO, including but not limited to:

  • Manage job postings (create, upload, close out in ADP)
  • Work directly with all hiring managers on all open roles
  • Resume/applicant coordination: create job folders, download, track for use by People Operations and Hiring Managers
  • Track applicants for positions
  • Facilitate screening processes and paperwork
  • Work with the Director of People Operations & Workplace Services to put processes in place for recruiting workflows
  • Track all roles in the Vacancy Tracker on Box

 

Job Responsibility 4: Other projects as assigned

5% of Time:

  • Perform duties, special assignments and projects as requested by manager

 

QUALIFICATIONS (KNOW HOW)

 

Education / Training

  • A bachelor’s degree, preferably commensurate experience, may be considered
  • 6 - 8+ years of human resources experience at companies with 50 or more employees

 

Experience/Technical Skills

  • Excellent verbal and written communication skills
  • Excellent interpersonal, negotiation, and conflict resolution skills
  • Excellent organizational skills and attention to detail
  • Expert with meeting collaboration tools
  • Strong understanding of general human resource principles and policies
  • Excellent time management skills with a proven ability to meet deadlines
  • Proven track record of being reliable, prepared, responsive, eager to learn, and encouraging
  • Strong analytical and problem-solving skills
  • Ability to effectively multi-task and prioritize tasks and to delegate them when appropriate

  • Proficiency with Office 365 and other computer systems/database management in a Mac and cloud-based environment
  • Proficiency with or the ability to quickly learn Asana
  • Proficiency with or the ability to quickly learn the organizations HRIS and talent management systems
  • Effectively execute assigned daily tasks, manage multiple competing priorities, and work within tight deadlines, while maintaining a high-level of quality, accuracy and confidentiality
  • Demonstrated ability to work effectively with leadership and collaborate with colleagues to achieve goals and deliver on priorities
