About the Position

The Senior Program Associate (SPA) for Silicon Valley Programs plays a key role in supporting the strategic planning, program implementation and grantmaking activities of Silicon Valley Programs. The SPA is responsible for assisting program staff with routine and semi-routine administrative activities in multiple phases of strategic planning and grantmaking processes, including staff and community engagement; grantee research and docket development phases; and summary reports and analysis. The individual will draft correspondence and prepare meeting summaries for the Leadership team and Board Members, communicate with grantees, and provide administrative and program support to program staff across SVP.

The Senior Program Associate position requires adaptiveness, effective communications, and strong planning and organizing, taking a proactive approach to multi-tasking, and working independently and as part of a team to manage to goals and execute tasks and projects. This position requires thoughtful and transparent communications and engagement with various stakeholders, including Board, staff, grantees, and community partners. The SPA will demonstrate curiosity, humility, and eagerness to learn, and be driven by the mission of Sobrato Philanthropies, excited to gain experience in the field of philanthropy while positively impacting the Silicon Valley community.

Key Responsibilities

Program Administration

  • Assist program and executive staff in the research and analysis of subject matter information related to grant programs (Economic Mobility, Social Purpose Real Estate and Housing/Essential Human Services), which may include philanthropic scans, demographic data, and grantee information
  • In coordination with the Grants Management team:
    • Manage key aspects of the grantmaking processes and grantee communications
    • Prepare materials and coordinate grant review meetings
    • Assist with evaluation of grantmaking initiatives
  • Draft reports, support board docket preparation, correspondence/emails, and other documents as necessary
  • Coordinate external consultants and vendors under the guidance of the Vice President of Silicon Valley Programs
  • Support the team in assessing and addressing the capacity building needs and progress of grantees
  • Maintain a visual grantee map and experiment with specific mapping tools
  • Engage with community stakeholders for upcoming grant and program opportunities
  • Manage and execute ongoing updates for grantee monitoring data

Communications

  • Serve as primary Silicon Valley Program-wide communications liaison with marketing and communications vendors; prepare meeting agendas and track tasks related to communications and marketing
  • Responsible for planning, development, and updating of content for the website and other communications such as email newsletters, social media, blogs, reports, and announcements
  • Responsible for social media content and engagement aligned with strategic goals
  • Monitor social media posts for engagement and partner content. Collaborate with staff and the communications vendor to curate social and engagement content for communications teams to disseminate
  • Coordinate public-facing grantee databases with up-to-date information (e.g. Groupsite, Workplace and Fluxx)
  • Curate and manage the SVP myriad content databases
  • Monitor and respond to the SVP general email accounts

Community Engagement

  • Organize applicant and grantee site visits
  • Coordinate learning convenings with grantees and other stakeholders
  • Collaborate with grantee partners in execution of partnered community events
  • Support Foundation-wide events, including Board meetings
  • Bring their own perspectives, relationship-building skills, and lived experiences to the growing team and culture of the Foundation

Other Responsibilities

  • Ability to execute special projects as assigned
  • Coordinate meeting logistics when necessary
  • All other duties and projects as assigned; overtime may be required

  • Proficient with database software, website tools (WordPress, MailChimp etc.) and in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Office 365 in a Mac environment; familiarity with standard office equipment and phone system
  • Bachelor’s degree and/or 3-5 year’s relevant experience; interest in nonprofit organizations and philanthropy; previous experience in policy analysis and in nonprofits a plus
  • Bilingual or multilingual, a plus
